This privacy policy sets out how TrackStat, a division of Automatic Practice Profits (“TrackStat,” “we,” “us”), uses and protects any information that you give us when you use this website or either of our mobile applications: the TrackStat Mobile App and Scheduler Pro – for patients (each, an “App”). TrackStat is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using this website or an App, you can be assured that it will only be used in accordance with this privacy statement. We may change this policy from time to time by updating this page. You should check this page from time to time to ensure that you are happy with any changes. This policy is effective from 9/15/2023 and was last updated on 8/4/2026.
This policy applies to three groups of people, and different parts of it apply to each:
Neither app is open to public sign-up. In both, access is activated by clicking a secure, single-use link sent to your registered email address, and you sign in from there.
Our apps do not ask you for personal information. Where we hold information about you, it reaches us in one of three ways:
Most forms on trackstat.org — demo requests, guide and resource downloads, referral and reactivation offers, and newsletter sign-ups — are hosted and processed by Jotform, a third-party form provider, on our behalf.
When you complete one of these forms, we collect the information you enter. This typically includes your name, email address, phone number, and the name of your practice, along with any other details you choose to provide. We use it to:
You can unsubscribe from marketing email at any time using the link in any message we send, or by emailing support@trackstat.org. Unsubscribing does not stop service messages about an account you already hold.
Jotform processes this information as our service provider, under confidentiality and security obligations owed to us, and its handling of the data is also governed by Jotform’s own privacy policy. We do not sell information submitted through these forms.
We do not sell, trade, or otherwise transfer your personal information to third parties without your consent, except as detailed in this Privacy Policy or required by law. We may share information with trusted third-party service providers who assist us in operating our website or conducting our business, subject to confidentiality agreements.
We are committed to ensuring your information is secure. We implement appropriate technical, physical, and administrative measures to protect against unauthorized access, alteration, disclosure, or destruction of your personal information.
Third-Party Booking Platforms (e.g., Reserve with Google)
If a TrackStat client practice enables a third-party booking integration such as Reserve with Google, limited scheduling information is shared between TrackStat and that platform to facilitate appointment booking. This may include the appointment date and time, the service type selected, the practice location, and a booking reference token used to attribute the appointment to the originating search or map listing.
When a patient books an appointment through a third-party booking platform, TrackStat receives the booking request and processes it through the same systems used for appointments booked directly on a practice’s TrackStat scheduling page. TrackStat does not share protected health information (PHI) with the third-party booking platform beyond what is necessary to confirm the appointment (date, time, and service name), and TrackStat does not sell patient booking data to any third party. Patients booking through a third-party platform are also subject to that platform’s own privacy policy for information they provide directly to it.
A cookie is a small file which asks permission to be placed on your computer’s hard drive. Once you agree, the file is added and the cookie helps analyze web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual, tailoring their operation to your preferences.
Analytics and advertising
We use Google Analytics 4 and Google Tag Manager on this website to understand how visitors find and use our pages. These services set cookies and collect information such as the pages you view, how long you spend on them, an approximate location derived from your IP address, and the type of device and browser you use. This information is processed by Google on our behalf and is also subject to Google’s own privacy policy. We do not track visitors who are logged in to our website.
Our Google Analytics property is linked to Google Ads. This means we may use website activity to measure how our advertising performs and to show TrackStat ads to people who have previously visited our website. This website is intended for chiropractic and physical therapy practices evaluating our software. It is not a patient-facing service, and we do not use website analytics or advertising data in connection with patients or with any information we hold on behalf of a practice.
You can accept or decline non-essential cookies using the consent banner shown when you first visit this website, and you can change your choice at any time. Most web browsers also let you decline cookies through their own settings, though this may prevent you from taking full advantage of the website.
Our website may contain links to enable you to visit other websites of interest easily. However, once you have used these links to leave our site, you should note that we do not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. You should exercise caution and look at the privacy statement applicable to the website in question.

If you believe that any information we are holding on you is incorrect or incomplete, please write to or email us as soon as possible, at the above address. We will promptly correct any information found to be incorrect.
You may request that we delete the personal information we hold about you at any time. There is no fee for making this request.
We publish two mobile apps, and the process differs because accounts are created differently in each. Step-by-step instructions for both are on our Delete Your Account page.
Scheduler Pro – for patients
Your practice invites you to Scheduler Pro after your first visit; you cannot sign up independently. You delete your information yourself inside the app: open Scheduler Pro, tap Edit, and delete the practice you are associated with. This removes the patient information the app holds about you, including your appointments with that practice.
TrackStat Mobile App – for practice staff
TrackStat Mobile App accounts are created and managed by the healthcare practice that employs you; there is no self-registration in the app. The app holds only the work email address and password you use to sign in — it does not hold other personal information about you. Everything else you see in the app is synced from your practice’s EHR. TrackStat only reads that data, and any deletion of it must be carried out in your practice’s own systems. To have your account and those sign-in details removed, contact your practice administrator, who can remove your access directly. If you are unable to reach them, email support@trackstat.org and we will pass your request on to your practice.
Because TrackStat operates in the healthcare sector, we verify the identity of the person making a deletion request before we act on it, and we may contact you to confirm the request. This step exists to prevent your records from being deleted by someone other than you.
What happens after you submit a request
We acknowledge every deletion request within 7 business days and complete the deletion within 30 days. Information is removed from our active systems when we process the request, and is purged from encrypted backup systems within 90 days.

If you are a patient of a practice that uses TrackStat
If your practice has invited you to Scheduler Pro, you can delete the information the app holds about you yourself, as described above.
TrackStat provides software to healthcare practices. Where we hold information about you as a patient of one of those practices, we process that information on the practice’s behalf and at its direction. In those cases the practice, not TrackStat, controls your record, and we cannot delete it without the practice’s instruction. Please send requests about those practice-held records to your practice. If you contact us instead, we will forward your request to the practice and tell you that we have done so.
Scheduler Pro is not open to the public and cannot be used by downloading it alone. Access is by invitation from a healthcare practice, and only after the patient has been seen at that practice for a first visit.
Where the patient is a minor, the practice obtains consent from the patient’s parent or guardian at that first visit, before the minor is invited to the App. A minor cannot sign up independently, and we do not create accounts for minors ourselves.
We do not knowingly collect personal information from children outside this consented, practice-mediated process. A parent or guardian may withdraw consent at any time by contacting the practice, or by emailing support@trackstat.org, and we will delete the information we hold as described under Data Retention and Deletion above. If we learn that we have collected personal information from a child without the required consent, we delete it.
Information about a minor patient that we hold on behalf of a practice forms part of that practice’s record. The practice controls that record, and a parent or guardian’s rights in relation to it are governed by the practice’s own notice of privacy practices and by applicable state law.
Our website and the forms on it are intended for adults evaluating TrackStat for their practice. They are not directed to children, and we do not knowingly collect information from children through them.
